Trace SI’s Seamless Transition to Unified Systems

SHARE

Centralized systems aren’t a luxury—they’re essential. Trace SI was trapped in a tangle of scattered data across multiple platforms. Their journey with Kompass shows just how transformative the right tools can be. Discover Trace SI’s seamless transition to unified systems with Kompass BMS.

The Challenge

Fragmented operations were holding Trace SI back. Data was spread across Excel, Outlook, Monday.com, and more. They needed a unified solution. Andy Kitson, a consultant at Trace SI, summed it up: “The main thing we were trying to solve is putting everything in one place… We tried various systems, but we couldn’t get everything we needed.” This decentralization wasn’t just inconvenient; it was a serious barrier to efficiency and growth.

The Exploration

The search for the right fit wasn’t easy. Trace SI explored around five or six systems, from popular ones like Monday.com and Microsoft Project to niche solutions. But each had its flaws. “You either get basics, which were useless, or spend a lot of time, money, and effort to tailor it all down,” Andy explained. Their past experience with Kompass BMS at another company hinted at a potential solution. “We used Kompass previously at Murphy Geospatial.”

The Decision

Why choose Kompass BMS? It stood out for its industry-specific design. “It’s all designed for this industry… for companies like ours,” Andy noted. The platform’s comprehensive features, tailored for service industries with teams, projects, and quotes, made it the clear choice. “Kompass just didn’t compare to anything else out there. For us, it was hands down the only option.” Their trust in the system was further solidified by their past experiences. “We knew what it did, which did help. So previous experience was definitely a big benefit for this.”

Onboarding and Support

Transitioning to Kompass was smooth, thanks to exceptional onboarding. “The onboarding with Spyros and Kai was amazing. They went through everything and set everything up for us. The transition from our old database was really simple… and the ongoing support is amazing,” Andy shared. The team appreciated the quick responses, the invaluable Kompass Support Centre, and the platform’s proactive development approach. “There’s the Kompass Support Centre thing that is invaluable. I mean, I’m going to be honest, I don’t use it that much because Spyros will come back to me faster than I can find something. That’s how good they are.”

Operational Impact

Kompass BMS revolutionized Trace SI’s business processes. The quoting system, in particular, was a game-changer, streamlining the entire lifecycle of a project. “The quoting system is one of the main reasons that I wanted Kompass… It’s all within that system. And it’s so customizable that those quotes are really simple to do.” Beyond that, the platform’s project management, scheduling, and invoicing features streamlined their processes, saving them both time and money. “The main improvement is probably time saved… 100% So it’s definitely saved us a lot of time and a lot of money,” Andy emphasized.

Growth and Scalability

Trace SI’s growth trajectory is intertwined with Kompass. Starting with just two people, the firm has expanded, and the platform has scaled with them. “As we grow, Kompass grows with us,” Andy remarked, highlighting its adaptability and value in onboarding new staff and setting up new offices. “As we have grown, we’ve brought on a few more staff. Bringing them on board with Kompass makes life a lot easier for them.”

Conclusion

For Trace SI, Kompass has been transformative. Andy’s gratitude was palpable: “We couldn’t think of anything better… Thank you so much.” Their journey underscores the profound impact of the right tools, highlighting the importance of adaptability, support, and industry-specific solutions. Andy’s final words resonate with their experience: “We recommend it to all of our clients when they’re overseas… We couldn’t think of anything better. And we genuinely appreciate being able to use it because the time we had without it was an awful period of time.”
